Event Check-In, Modernized: Scanners, Software & the Door

The entrance is your event's first impression — and its worst choke point. Modern access control turns the line at the door into a welcome: QR tickets, fast scanners, and check-in data that flows straight into your CRM.
From torn stubs to QR codes
A QR ticket connects directly to the attendee record: present, scan, validated, in — a fraction of a second per guest. Contactless entry became essential for health reasons and stayed the standard for pure efficiency. The wallet version goes further than a PDF: it updates itself, surfaces on the lock screen at the venue, and can't be duplicated (see why wallet tickets beat PDFs).
Before the door: the buying experience
First impressions start at registration. Keep the journey branded end to end, embed registration on your own site rather than bouncing buyers to a third-party page, collect exactly the data you'll use (dietary needs, sizes, titles), and price dynamically — early-bird and tiered releases. With registration on Salesforce or Experience Cloud pages, every buyer is a record before they're a guest; the full form playbook is in event registration done right.

Choosing scanning hardware
- Staff phones — the Kemicard Scanner runs on any Salesforce mobile session; every staffer's phone is a scanner. Zero hardware cost.
- iPads at fixed stations — self-serve kiosks or greeter stations for high-throughput gates.
- Dedicated hardware scanners — keyboard-emulating barcode guns work with the same record mapping for all-day, high-volume doors.

Plan for bad connectivity
Venues eat bandwidth. The pass barcode displays offline on the attendee's phone, so the critical failure mode is your side, not theirs: pre-cache attendee lists where your platform supports it, run scanners on a dedicated hotspot rather than venue Wi-Fi, and keep a manual lookup lane — the record, not the barcode, is the source of truth.
The data payoff
Every scan writes attendance to the record: arrival curves for staffing, no-show rates for overbooking decisions, session popularity for next year's agenda — and follow-up campaigns through Flow or Salesforce Marketing Cloud that fire the morning after.
